Software Doesn't Replace Verification

WorkSitePass Team·June 2026·3 min read

One thing has stood out after speaking with site superintendents and safety professionals across Canada.

Even when companies use software to manage worker certifications, they still verify credentials in person during site orientation.

One safety coordinator told us they use dedicated software to track certificates — but every worker's credentials are still checked face-to-face before work begins.

A site superintendent shared that he reviews physical certification cards and keeps photo records. Another put it plainly:

"I check everyone so my ass is covered."

The software wasn't the final decision-maker.

The person on site was.

That's not a weakness

That's how construction manages risk. Digital records help organize information, but the final responsibility still belongs to the people running the job site. No platform changes that — nor should it.

What software can do is give that person something better to work with than a laminated card and a gut feeling. A verified status, confirmed before the worker arrived. A readiness list instead of a pile of certificates to sort through at 7 AM.

The in-person check doesn't go away. It gets faster, and it gets backed by something real.

Compliance isn't just about storing certificates. It's about giving the people responsible for the site confidence that the right worker, with the right qualifications, is ready to work.

One conversation at a time, that's what we're learning the job actually is.

About this series

Field Notes is a series where we share what we're learning from conversations with site superintendents, safety professionals, and project teams across Canada. These observations come from real discussions in the field and help shape how we think about workforce compliance.
